Senior Center Policies


Facility Rental Policy
Reservation requests may be made by calling the Senior Center office (583-5320) between 9 am and 4 pm, Monday through Friday. Fees must be paid in full before keys are issued. Keys will be returned the next business day. Fees are payable to the City of Upper Arlington.

If We Cancel – The Upper Arlington Parks & Recreation Department reserves the right to cancel any facility reservation. If this situation occurs, a full refund is issued.

If You Cancel – To cancel a reservation, you must contact the Senior Center (583-5320).

Refunds – A refund is issued if the Parks & Recreation office is notified 30 full business days in advance of the reservation. Check refunds may take up to 30 days from the date the activity is canceled. A processing fee of $5 is assessed for all canceled reservations.

Registration Information & Policies

Americans With Disabilities Act – In accordance with the Americans with Disabilities Act, participants with disabilities are asked to contact the Senior Center at least two weeks in advance of the starting date of the program to discuss any special accommodations or adaptations for participation in the program.

Age Requirement – Senior Center programs are designed for adults 55 years and older unless noted otherwise.

Weather Conditions – If the Upper Arlington School District closes due to inclement weather, all morning classes, activities and meal service are canceled. The Center will open at Noon. The Parks & Recreation Department reserves the right to extend closures due to inclement weather or to close any time inclement weather threatens the safety of the participants.

Cancellations

If We Cancel – The Upper Arlington Senior Center reserves the right to cancel classes due to insufficient enrollment or other unforeseen circumstances. Registered participants are notified and full refunds given. Check refunds may take up to 30 days from the date the activity is canceled.

If You Cancel – To cancel a registration, you must contact the Senior Center (583-5320). Instructors are not authorized to issue refunds or credits.

Refunds – Refunds (less a $5 processing fee per class) are given by check, if we are notified five full business days in advance of the start of the program. Refunds for travel are handled separately and on a case-by-case basis. Notify the travel coordinator if you cannot take a scheduled trip for which you are registered.

Credits – If you contact our office less than five full business days in advance of the start date, but before the day the class begins, a credit voucher (less a $5 processing fee per class or activity) is issued. For weekend classes, notice must be given by the end of business hours of the last business day prior to the start of the class, activity or program. Credit vouchers may not be redeemed for cash but may be applied toward Senior Center registration fees. Vouchers are not transferable and are valid for one year from the date of issue. A copy of your credit voucher is mailed to you. To redeem your credit voucher, mention it at the time of registration. If you are unable to participate due to a personal medical condition, you must provide a physician’s statement on official letterhead. Consideration for a refund or credit voucher is made on a case-by-case basis. A decision is made within five business days of receipt of physician’s letter.

Customer Satisfaction Policy

The goal of the Upper Arlington Senior Center is to provide high quality programs and activities to the community we serve. While we are proud of the fact that most of our participants report a high level of satisfaction, we recognize our responsibility to those whose program did not fulfill their legitimate expectations. If upon completion of your program, you feel that it was not satisfactory or was not as described in Center Stage, please inform our staff in writing. Your request must be postmarked within five business days of the last date of the class or activity. After review of your comments, a decision is made within five business days regarding a refund or credit voucher.

Privacy Statement – Your privacy is our priority. Your personal information is used for administrative purposes within our office. We do not sell or release your information to any outside vendors or groups.

Photo Release – Photographs are occasionally taken of Parks & Recreation activities, including Senior Center activities, for use in future promotions. By registering for any Senior Center activity, you agree to allow publication of photos taken during class. If you prefer not to be photographed, please notify the photographer.

With their continued support, we are able to provide many outstanding programs and special events to the “Big Kids” of Upper Arlington. Our thanks to the many volunteers and supporters who donate time, talent and resources to help make these programs and events possible.

Please note: Our office, along with all other City of Upper Arlington offices, is closed on federal holidays.

Travel Information and Policies

Trip Challenge Levels
Use these challenge levels to judge your own ability to enjoy any trip.
• Challenge 1: minimal walking/ standing, easiest trip, may include a few steps.
• Challenge 2: moderate walking/ standing, could include a few flights of stairs.
• Challenge 3: moderate walking/ standing, includes climbing stairs and/or uneven terrain.
• Challenge 4: lots of walking/ standing, includes climbing stairs or hilly walkways and/or extended weather exposure.
Note: Most trips allow travelers to remain on the bus when the group tours a difficult area.

Rules of the Road
• Travelers must complete an Emergency Form and Waiver before taking a trip (available at SC Staff office). These forms allow the trip escort to assist in the unlikely event of an emergency.
• No smoking or alcoholic beverages are permitted on the bus.
• Wear layers of clothing so you can adjust for your comfort.
• Go easy on perfume or aftershave, as you sit close to others who may be sensitive to these products.

Cancellation Policy
If you must cancel a trip reservation, notify us as soon as possible and return your bus slip noting the reason for cancellation on the back. If anyone is on our wait list, we will sell him or her your reservation and refund your money. Refunds cannot be made unless all expenditures are met.

Americans with
Disabilities Act Policy

Reasonable accommodations are made for travelers with disabilities. Travelers who require assistance must register a traveling companion at their expense to assist during the trip. If you are concerned about your ability to manage a particular trip, consult with Travel Coordinator Jane Sindel.
